ECSACOP 2024: A Successful Collaboration.

ETHOS once again partnered with the Association of Physicians of Uganda (APU) to successfully manage the 9th Annual ECSACOP Conference. Held from August 29th to 31st at Mestil Hotel, the three-day event brought together healthcare professionals, researchers, and physicians from across Sub-Saharan Africa.

ETHOS’ Pivotal Role

ETHOS played a central role in the event’s success, overseeing all aspects of the conference from pre-event planning to post-event activities. Our team’s expertise in event management ensured a seamless and impactful experience for all participants.

Pre-Event Activities

  • Content Development and Social Media: ETHOS spearheaded a comprehensive social media campaign to generate excitement and anticipation for ECSACOP. Regular content updates were shared on YouTube, LinkedIn, and X, highlighting the conference’s significance and APU’s work.
  • Digital Marketing: Targeted email and SMS marketing campaigns were executed to reach a wide audience of healthcare professionals. While we successfully exceeded our target for domestic email outreach, challenges were encountered in reaching the international database due to limited contact information. We are exploring alternative communication strategies for future international events.
  • Event Planning and Coordination: The ETHOS team meticulously planned and coordinated every aspect of the conference, ensuring a smooth flow of events and seamless collaboration among all stakeholders.

Event Activities

  • Virtual Check-In and Online Registration: To promote sustainability and efficiency, we implemented a virtual check-in system using QR codes. This minimized paper usage and accommodated on-site registrations.
  • Vendor Coordination: ETHOS oversaw the coordination of all vendors, including logistics, audiovisual, and catering, to guarantee a high-quality experience for attendees.
  • Event Documentation: Our team ensured comprehensive documentation of the conference through photography, capturing key moments and preserving the event’s legacy.
  • Airport Transfers: ETHOS managed airport pickups and drop-offs for conference attendees, ensuring a smooth and efficient transfer experience.

Post-Event Activities

  • Feedback Collection and Analysis: ETHOS is currently collecting feedback from attendees to gain insights into the conference’s success and identify areas for improvement. This information will be used to inform future planning and execution of similar events.
  • Event Report: A comprehensive event report is being prepared, summarizing key activities, outcomes, and lessons learned. This report will serve as a valuable resource for future reference.

The partnership between ETHOS and APU was instrumental in delivering a successful and impactful ECSACOP conference. Through our collaborative efforts, we were able to create a valuable platform for healthcare professionals to connect, learn, and contribute to the advancement of palliative care in Sub-Saharan Africa.
